November Minutes

Tuesday, Nov. 18, 2014, WordWeavers held their monthly meeting. Barbara Shoff, Charlotte Smith, Eloise Needleman, Jennifer McMurrain, Saralyn Miller, David Pennel, Irene Chang, Janis Lussmyer, Abigail Singrey, Hank Hankinson, Mary Kincaid, Margery Warder and Rita Durrett were all in attendance. We would like to send a very warm welcome to Marshall Bennett. We’re so glad you came.
Barbara opened the meeting with quick introductions, followed by a public relations report. Jennifer encouraged everyone to share the book of the day on Facebook. Word of mouth is the best form of advertisement and make sure to congratulate those who have a book release, because it’s hard work and a big deal.

Jennifer then gave treasurer’s report and sales are doing well. There are still some outstanding dues, please pay those ASAP. WordWeaver dues are only $10.

Jennifer followed with an anthology report. Seasons of Life is LIVE!! Please spread the word. She then went over how to order additional copies of the anthologies. Remember all anthology business needs to go to WordWeaverAnthologies@gmail.com.

The OWFI newsletter and lack of information was discussed and I’m pleased to announce that as of this evening the rules and regulations for the OWFI contest are up on the OWFI blog, www.owfi.biz.

Our next meeting is a closed meeting, only WordWeaver members* are invited as we will be having our meeting/Christmas party at Eloise Needleman’s house at 1900 Saturn Court. We will be sending out an e-mail with a map closer to time. The Christmas party will be on December 16, 2014 at 6:00pm. Please bring your favorite Christmas party food. *This applies to established members, if you have been a member you are welcome to come even if your dues aren’t current, but please pay your dues ASAP.


If you have a Christmas story you’d like to share, please bring it to the party. Please keep all submissions to 5/6 minutes.

October Meeting Minutes

Tuesday, Oct 21st, WordWeavers held their monthly meeting. Barbara Shoff, Jayleen Mayes, David Pennel, Marilyn Boone, Jennifer McMurrain, Irene Chang, Rita Durrett, Janis Lussmyer, Saralyn Miller, and Angel Riggs were all in attendance. We would like to send a very warm welcome to Allison Albert. We’re so glad you came.
Barbara opened the meeting with quick introductions, followed by a public relations report. Jennifer informed everyone that if they would let her know when they have new releases she would be more than happy to include them in the Facebook profile pic rotation.

Jennifer followed her public relations report with the treasurer’s report and anthology sales report.

Many decisions were made regarding the Seasons of Life anthology.

1.    ANYTHING REGARDING THE ANTHOLOGIES WILL NOW NEED TO BE E-MAIL TO WordWeaverAnthologies@gmail.com. All other WordWeaver business will still be sent to BvilleWordWeavers@gmail.com.

2.    The anthology will be sold at Amazon, Kindle, Createspace, Barnes and Noble and Smashwords for the first 3 months. After the first 3 months, if there are no sales during those first 3 months, the anthology will go in the Kindle Selects program to utilize their promotional materials.

3.    Every author who participated in the anthology will receive 1 copy of the anthology at cost, which is $4.52. The WordWeaver organization will pick up the cost of shipping and handling for this one time shipment. You must notify the WordWeavers via WordWeaverAnthologies@gmail.com if you’d like your author copy by November 15, 2014.

4.    WordWeavers will be able to order books for their book signings at a discounted cost. A $3.00 fee will be added to the cost of book including shipping and handling. WordWeavers can then do whatever they see fit with the books they have purchased, no more money will be owed to the WordWeavers. Order forms will be provided. You will be able to pay via check, PayPal, credit/debit or cash (please keep in mind we may not always have change).

The meeting concluded with Barbara asking everyone what direction they’d like to see the WordWeavers move in. There were talks of critiquing no more than three submissions on a first come first serve basis, knowledge share programs, and writing prompt exercises.
The next WordWeavers meeting will be November 18, 2014 at 6:30 at the Bartlesville Public Library, meeting room B.

September Meeting Minutes

Minutes of the Wordweavers  Meeting – Thursday Sept. 16, 2014  - Diana Purser, Secretary

The meeting was called to order by out-going President Jennifer McMurrain. We went around the table introducing ourselves. We had five new people present.

Sharon Barrett, David Pennell, Marilyn Boone, Eloise Needleman, Erin McMillan, Hank Hankinson, Irene Chang, Charlotte Smith, Barbara Shoff, Rita Durrett, Janis Lussmyer, Mary Kincaid, Linda Derkez, Heather Davis, Cindy Molder, Bob Long, Sara Gagan, Angel Rigg, and Penny Sharpton were present.

At 7 p.m. we posed for a photo for the anthology taken by Paula Young showing all the people present at that meeting. Those not present who have items in our anthology need to send an individual photo to Jennifer McMurrain  by October 1st.   More information will be sent to authors involved in the anthology via e-mail.

OWFI NEWS:   Jennifer announced changes being made the categories for the annual writing contest as well as a few price changes. All information will be made public in the October issue of the OWFI Report. The OWFI web site is now being rebuilt, but its domain name will still be OWFI.org.  Their newsletter NEEDS articles.  Submission deadline is Oct. 15.

Diana Purser secured a table for the WordWeavers at the Oklahoma Indian Summer Festival and anyone who had published books was invited to attend.

Anthology Sales:  We sold a few at the County Fair and some more over Amazon. Jennifer proposed that we do a Promo Give-Away of Seasons Remembered in October and then once again just before Seasons of Life comes out. That motion was made, seconded, and passed.

Anthology Business: Cover Color – Coral was voted as final background cover.

Anthology Contracts – Get those signed and then submitted to Jennifer ASAP.

The Anthology Committee will be meeting soon to decide the order for the stories in each section. The goal will be to help the book “flow” from story to story as best as possible.  Once those decisions are made, Jennifer will start the formatting so proof books can be ordered ASAP.

DUES for WordWeavers  ($10)  and for OWFI ($20)  are now due.  Please send your checks to Jennifer McMurrain, our new Treasurer. E-mail BvilleWordWeavers@gmail.com if you need her address.  

Out-going President Jennifer McMurrain made her “farewell speech” saying that she is so very proud of all of the members for working so hard and being so cooperative. She said that she could not have been a good president without all the wonderful members. She will still be an officer – Treasurer and Public Relations – so she will continue to be very involved and available to answer questions. She wanted us to know that she will be cheering us on as we continue to work on our various projects.

Our in-coming President Barbara Shoff also made her “opening speech,” asking everyone to come to the October meeting with lists of each of our strengths and weaknesses -  lists of ideas about which of our talents or areas of expertise we would be able to SHARE with our fellow writers  -  and lists of suggestions about guest speakers, projects, how to handle critique sessions, etc.  She wants to hear from everyone about what directions we think WordWeavers should go in the future.

The meeting was adjourned at 8:30 and opened to “Free Chat” time so that we could all have a chance to meet and get to know the five new people.


Our next WordWeavers meeting will be Tuesday, October 21st at the Bartlesville Public Library, meeting room TBA.

August Meeting


 
Bartlesville WordWeavers met August 19, 2014 at the Bartlesville Public Library. Jennifer McMurrain presided.
 
There was no treasurer's report in Diana Purser's absence.
 
Jennifer reported on the sales of the 2012 Anthology, 2991 copies are in the hands of readers.
 
The WordWeaver members voted on the cover art for the 2014 Anthology. The cover, "Silhouettes" was selected.  
 
Final 2014 Anthology revisions will be emailed in the next few weeks. Please return as soon as possible to the editors.
 
The next meeting is September 16, 6:30 PM at the Bartlesville Public Library. The elections for new officers will be held by ballot during the meeting. Members interested in serving as a 2014-2015 officer please contact Denise Jarmola, CDJarmola@sbcglobal.net

Bartlesville Wordweavers June 17, 2014 Meeting


The meeting was held at the Bartlesville Public Library at 6:30 p.m. President, Jennifer McMurrain led the meeting. 

There were two guests, Sidney and David. 

A treasurer's report was given by Diana Purser. 

A total of 3,008 anthologies are in the hands of readers. 

New Business: 
Into the Book has been cancelled for 2014 due to lack of support and interest. 

The new anthology will be released November 18, 2014. 

Submissions for July are now due on July 15. Abigail, Twana, Marge, Cathy, and Sidney please email to Jennifer McMurrain. 

* New date for July Meeting, July 22, 6:30 p.m. at the Bartlesville Public Library. It is an open meeting. help spread the word of the new date.

Bartlesville Wordweavers Celebrate at Luigis


Bartlesville Wordweavers at OWFI 2014 Awards Banquet 

The May 20, 2014 meeting was held at Luigis in Bartlesville. Jennifer McMurrian presided. It was a members only time of celebration.

A brief treasurers report was given by Diana Purser.

Winners from the 2014 Oklahoma Writer's Federation and Bartlesville Friends of the Library were announced.

May critiques will be emailed to the writers for edits and corrections, send to Jennifer McMurrain before the June meeting. June submissions are due to Jennifer on or before June 10.

The next meeting is open to prospective members. It will held June 17, 6:30 p.m. at the Bartlesville Public Library.

Write, write, write.

OWFI is less than a year away and new contests and opportunities are posted on the website all the time.

Minutes from February 18 Meeting

Barb Shoff presided.

The writing opportunity for novelists was announced. It is the Kindle Competition. Go to Amazon.com for details. 

The treasurer reported that a total of 385 copies of the 2012 Anthology have been sold. During the treasurer's report, it was decided that Bartlesville WordWeavers would sponsor another category at the OWFI Conference in honor of Hillary Welch. 

Bartlesville WordWeavers also voted to give a 175.00 OWFI scholarship to one of the members. There was a drawing and Marjorie Warder will be the 2014 Scholarship recipient. 

C.D. Jarmola, President of OWFI, gave a report about the May 2014 conference. A few of the highlights were: 49 different break out sessions, 21 different speakers, 4 agents, OK Poet Laureate, 218 people entered the writing categories, and registration fees are due March 15.

Critiques were given for Barbara F, Mary K, Pepper H, and Cindy M. Rita D's critiques were given to Barb.

March critique submissions are due March 11.

The next meeting is March 18, 2014.

Minutes from January 21, 2014

Jennifer McMurrain presided.

Ten members were present at the meeting that was held in the Bartlesville Public Library. There were no guests or prospective members. 

Critiques were completed for Pepper, Marilyn, and Janis. 

New writing opportunities will be posted on the Facebook page. 

Diana Purser gave the treasurer's report. There is a current balance of  $818.04.

389 total copies of the 2012 anthology are in the hands of readers. 131 copies have been sold.

Final edits are due from Hank, Diana, Sybil, and Jennifer.

Final edits of the contributors to the 2014 anthology need to be emailed to Jennifer at Bville_wordweavers@yahoo.com should be resent. Some have not been received.

Denise Jarmola, Wordweaver member and President of OWFI, gave a short review of the OWFI Annual Conference that will be held in May 2014. There is aFebruary 1 deadline for scholarships to attend. Room reservations need to be made under the name of OWFI. Jennifer McMurrain will secure rooms for local members. If anyone is interested email her at the Bville_Wordweaver email. 

If you have entered the OWFI contest, remember to print the OWFI Official Contest Entry Form. It is on the website and also in the OWFI magazine. It requires, your contact information and the category entered and title of the work. It too must be received by February 1.

Meeting Minutes - December 17, 2013


Minutes from the WordWeavers’ Meeting – December 17, 2013

First, the Christmas Party at Jennifer McMurrian’s home was delightful.

Treasurer’s Report – We currently have   $795.22  in our bank account. We also made an additional $7 on another sale of our last anthology. Therefore, once that has been deposited, we will have $802.22.   We have 24 people who are members of both WordWeavers and OWFI, plus an additional 5 members who chose to join only WordWeavers, so that is a total of 29 members.

Jennifer said that she would continue doing the PR work for WordWeavers  instead of trying to find someone else  to do that job that Hilary left vacant.

Since both the OWFI and the FOL contest deadlines are around the corner on February 1st of 2014, the first order of business was to go over the most recent copy of THE REPORT from OWFI, pointing out the following important items:

                1. Read through the agents and editors coming this year to make your choices of whom you want to see in person.

                2. Notice that on Friday night, the banquet will have a COSTUME CONTEST. Everyone should dress as his or her favorite author OR literary character.

                3. Any book or blog author can reserve a TABLE CENTERPIECE for a cost of $10. (There will be 11 people per table who will be the captive audience  looking at that book. The number of tables will be limited, so anyone interested should do this pretty soon.) The author will need to set up his or her book as  the table’s centerpiece – perhaps in a basket or other display to show it off. At the end of the evening, someone at that table will “win” that copy of that book.

                4. About the BASKET WARS, we discussed getting “treasure chest” type boxes instead of some old basket. We also tossed around the idea of doing several smaller baskets instead of one huge one that often does not bring in as much money as was put into it.  Everyone should be thinking of theme ideas.

                5. The BOOK STORE – Coffee Bar will also schedule some times for signings, by genre maybe.

                6. The FRIDAY LUNCHEON – will cost $25 and will be a NETWORKING LUNCH where people will move from table to table to meet more of the editors and agents in small groups.

                7. The SATURDAY LUNCHEON- will cost $25 and will be to hear Eloisa James talk.

                8. The THURSDAY NIGHT early session will cost $15 and will be Andrew Kaufman talking. He had been one of Linda Boulinger’s publishing clients. Now he is a best seller.

                9. The SATURDAY NIGHT is the GLITZ and GLAMOR AWARDS SHOW for the contests.

                10. CATEGORY SPONSORSHIPS – Wordweavers voted to send $105 to OWFI to sponsor the catgory of   “Juvenile Short Story” and to dedicate it in Hilary Welch’s name.

                11. We talked about how the one time $20 fee covered entering one item in all 33 categories.

                12. Our January meeting – on Jan. 21st in the Upper Room of the Library – will include  a presentation about how to submit our entries on-line this year.  Be sure to save your items as  .doc  (NOT  .docx)   documents before sending them in.  Also, be sure that the Name each item is SAVED under is exactly the same as its TITLE. Otherwise, there might be confusion. Members were encouraged to try to do these entries on our own as early as possible in January and not wait until after the 21st if possible.  The items get sent to each CATEGORY CHAIR, all of whom are listed in the Report and also online.  Another note was that the items we have been writing for our Anthology are all also possible entries for the two Feb. 1 deadlines because none of these works have been published YET.

The group voted unanimously to dedicate our next Anthology to Hilary Welch’s memory.

Because Jennifer has had so much trouble with Yahoo’s new way of listing “REPLIES” as sublists instead of as new emails, EVERYONE  needs to RE-send his or her Anthology submissions we’ve already critiques – in their “best” finalized forms   to Jennifer OVER AGAIN.    Send them as ATTACHMENTS in NEW emails – NOT a reply to a note she has sent out – please.  These also need to be in  .doc   format.  So please take the time to get them revised and sent to her at -
